Location: Tokyo, Japan 

 

Located in the upscale Akasaka area of Tokyo, our office is a short walk from Akasaka-Mitsuke, Akasaka, and Tameikesanno Stations. 

The Office Manager, as a senior specialist with advanced applied knowledge and skill, is responsible for conducting executive administration and related duties to support senior and executive management. The incumbent will be responsible for maintaining a standard work environment in the office; managing and ordering office supplies, being the point of contact for vendors, and ensuring board rooms, reception, and meeting areas are in order. A proactive, solutions-oriented team member, the Office Manager, Japan will also be the Health Manager, and will manage all tasks associated with Health and Safety, as well as all facilities-related tasks.

What you will do

  • Responsible for ensuring the office and working environment is managed at the required level and standards according to legislation and Kinaxis conditions and standards.
  • Supervise and coordinate office administrative activities, including but not limited to - managing office supplies and equipment, handling incoming and outgoing correspondence, and maintaining office cleanliness and organization.
  • Manage office budgets and expenses with guidance from global HQ, ensuring cost-effective solutions without compromising quality.
  • Act as a liaison between management and staff, facilitating communication and addressing any concerns or inquiries.
  • Oversee facilities management, including maintenance and repairs, to ensure a safe and functional work environment.
  • Coordinate with external vendors and service providers as necessary to support office operations.
  • Be the point of contact for the landlord for annual fire drill, power outage and parking coordination.
  • Support the customers visiting onsite with the necessary arrangements in the office, parking, entry to the office floor, programming security access, passes and schedules of employees and customers visiting etc.
  • Manage facilities related ServiceNow tickets in the Japan office.

What we are looking for

Primary Skills and Qualifications:

  • Bachelor’s degree in business administration or an equivalent level of education and related experience.
  • A minimum of 2 to 5 years of office management experience.
  • Knowledge and experience in executive and office administration, employee onboarding, facility services, and following the organizations policies, guidelines, and best practice. 
  • Excellent communication and interpersonal abilities.
  • Fluency in Japanese and English languages, both written and verbal.

Role Specific Skills and Experience:

  • Ability to prioritize workload, work independently using initiative and judgment, adapt to changing priorities, manage multiple tasks, demonstrate attention to detail in a fast-paced environment.
  • Strong attention to detail using organization skills and agility while managing conflicting priorities. 
  • Sense of urgency and experience working in a fast paced, innovation driven environment.
  • Proficiency in MS Office and related software (Word, Excel, PowerPoint, SharePoint and Teams).
